This is a serious administration and customer support appointment inside a growing Gold Coast business operating across two established patio and carport brands. Strong Molendinar location, practical team environment, active customer enquiry flow, and a role that requires reliability, communication, follow-through, and genuine operational discipline.
Our client is looking for an Administration & Customer Support Officer who can manage enquiries, prepare quotes, maintain CRM records, coordinate supplier orders, and keep customers informed from first contact through to delivery.
This role is built for an administration professional who knows how to balance customer service, detail, systems, quoting, supplier coordination, and follow-up without losing sight of service quality and operational flow.
KEY RESPONSIBILITIES
Answer inbound phone and email enquiries professionally and promptly
Gather customer requirements and prepare accurate quotes using Xero
Update and manage CRM records, including follow-ups, deal stages, customer notes, and enquiry progress
Coordinate customer orders with suppliers and track confirmations, stock availability, and delivery timelines
Follow up outstanding invoices and keep customers informed throughout the process
Provide administration support across both the online DIY patio business and installation-based patio and carport business
Maintain accurate customer records, order information, quote details, and internal documentation
Support the broader administration team with day-to-day workflow, communication, and operational tasks
Manage competing priorities while maintaining accuracy, consistency, and professionalism
Ensure enquiries, phone calls, customer communication, and follow-ups are handled properly and never casually
ABOUT YOU
Experience in administration, customer service, office support, or a similar customer-facing administration role
Confident and professional on the phone with strong rapport-building skills
Reliable, mature, and seeking a stable long-term role
Strong attention to detail with the ability to manage quotes, records, invoices, and follow-ups accurately
Comfortable multitasking in a busy, practical, and team-oriented environment
Experience using Xero and basic Excel, or the ability to learn quickly
Strong written and verbal communication skills
Willing to learn new systems, products, processes, and supplier requirements
Able to work well within a small team with clear expectations and real accountability
Experience with CRM systems, Shopify, or social media will be highly regarded but is not essential

Consistent weekday hours, approximately 8:30am – 4:30pm, Monday to Friday
